Role

As Team/Project Assistant, you will support the Development team in the conceptualization, planning, and execution of real estate projects, as well as in the day-to-day tasks within the department. You will play a key role in coordinating, organizing, and documenting all relevant activities.

Responsibilities

The Team/Project Assistant supports the project development team and is responsible in particular for the following tasks:

  • Personal assistance to the team, e.g. project organization, scheduling, travel management, correspondence, and further administrative tasks
  • Preparation and management of contract documents, including planning and construction contracts as well as lease and rental agreements, and drafting of commissioning letters
  • Support in the preparation of reports, presentations, and other relevant documents
  • Management and maintenance of project and department documents such as templates, insurance records, and official documents
  • Contribution to the preparation of internal and external reporting in the form of monthly and quarterly reports
  • Support in processing invoices and payment transactions
  • Organization and coordination of internal monthly project meetings, including minute-taking

Other

  • Additional support on special projects in coordination with management
  • External representation of the company and active networking with relevant business partners and contacts
  • Active contribution to internal team building
  • Input and promotion of special topics such as new IT solutions, new technologies, and optimization of structures and processes

  • Very good organizational skills and a precise way of working
  • Good numerical skills and enjoyment working with figures
  • Excellent written and verbal communication skills
  • Team player with an independent, self-driven working style
  • Discretion and reliability when handling confidential information

Qualifications

  • Completed commercial training, ideally in real estate or construction, or a comparable qualification in fields such as business administration or project management
  • Experience in the real estate industry, ideally at a general contractor/construction company or project developer, is expected
  • Confident use of MS Office applications (Word, Excel, PowerPoint) and Adobe
