Responsibilities
A friendly and service-oriented professional in the role of Front Desk & Office Manager will be responsible for the following tasks:
- Overall office organization, including procurement of office supplies and beverages as well as coordination of ordering cycles
- Coordination of meeting rooms and calendars, including alignment of internal and external appointments
- Mail and document management, including incoming and outgoing mail, mailboxes, forwarding services and handling incoming invoices in cooperation with the accounting department
- Support in optimizing and standardizing internal document structures
- Contract management, including administration and monitoring of all service provider contracts related to office operations
- Updating and maintaining general office documents and templates
- Support during the onboarding of new employees, including workplace setup and preparation of IT hardware
- Management of mobile phone framework contracts, including maintenance, monitoring and optimization of existing agreements with mobile service providers
- Device management, including organization, issuance and return of mobile devices as well as ensuring proper use and documentation
- Support during offboarding processes
- Fleet management
- Coordination with our external IT service provider, ensuring smooth IT processes and acting as the first point of contact for ticket approvals
- Reception and communication management, including professional handling of the reception area, telephone switchboard and guest reception
- Coordination of appointments with external service providers
- Support in organizing team events and internal initiatives
- Assistance with general organizational and administrative tasks in day-to-day operations

Qualifications
- Experience in reception or front desk roles, e.g. in hospitality, gastronomy or another service-oriented environment
- Very good German and English language skills
- Confident handling of common software applications (MS Office)
